How quotas work
What counts and what happens when the limit is reached
Each Calendar.coffee instance tracks its own usage in the configured timezone.
Appointments by service month
An appointment counts in the month of its start date, not when it was created. The instance timezone is used.
Cancelled appointments do not count
Only appointments whose status is not cancelled are counted. Cancelling releases that unit in the relevant month.
When the month is full
Existing appointments remain available. To add another in that month, release quota or upgrade the plan.
Total professionals
Each profile assigned to Calendar uses one unit. These identities do not use the general additional-user quota.
When you downgrade
No profiles or appointments are deleted. The oldest professionals remain active and excess profiles are suspended.
When you upgrade again
Profiles suspended by capacity automatically recover their previous status when they fit again.

Before you choose
Do appointments renew each month?
Each month has its own quota based on scheduled appointment dates. Unused quota does not roll over.
Does a future appointment count when I create it?
It counts in the month when it will take place, not the creation month.
Do cancelled appointments use quota?
No. They are excluded from the monthly count.
Do professionals count as additional users?
No. Calendar has a specific professional quota separate from Suite.coffee’s general user limit.
Are professionals deleted after a downgrade?
No. Excess profiles are reversibly suspended and their historical appointments remain.
Is there a fee for every booking?
No. Only the monthly price and applicable taxes shown during checkout apply.
